Short answer
To switch OnlyFans CRM, export everything your current tool lets you take (fan notes, tags, templates, reports), start a trial of the new tool with one or two accounts, re-link each account yourself in the new tool, recreate roles and assignments, and move the team account by account. Cancel the old tool only after a full week runs smoothly and you have checked how its billing and data deletion work.
Key points
- Conversations, subscribers, vault and OnlyFans lists live in OnlyFans and come back when you link the account again.
- What you lose if you do nothing is your own layer: internal notes, tags, templates and reports.
- Most tools, FansTracker included, have no importer for another CRM's data, so plan to copy the important notes by hand.
- Move one or two accounts first, run a full week, then move the rest.
- Read the old tool's cancellation terms before you cancel, because some delete data at the end of the billing cycle.
What moves with you and what stays behind
The good news is that the most valuable data is not in your CRM. Conversations, subscribers, the vault and the lists you created in OnlyFans belong to the creator's OnlyFans account. When you link that account to a new tool, it reads them from OnlyFans again. In FansTracker, for example, the first sync brings in conversations, fans, vault metadata and activity within a few minutes, and OnlyFans lists are read live each time you open them.
What does not move by itself is everything your team added on top: internal notes about each fan, tags, custom segments, saved message templates, chatter assignments, shift schedules and any revenue reports the old tool calculated. That is the part to plan for, because it represents months of work by your chatters.
Be careful with promises of a one-click migration. FansTracker has no import from other CRMs, and as far as public information shows, importing another vendor's notes is not a common feature in this market. Assume you will rebuild your own layer and focus on the parts that matter.
Export before you touch anything
Start by exporting everything the current tool allows, while your subscription is still active. Check its settings and help center for CSV or JSON export of fans, notes and reports. OnlyMonster, for example, presents CSV and JSON export as part of its no lock-in approach. If a tool has no export, take screenshots or copy the notes for your top fans into a shared sheet.
Timing matters. Infloww's help center states that when you cancel, access continues until the end of the billing cycle and then data is permanently deleted. Other tools have their own rules, so read them now rather than after cancelling.
- Fan notes and tags, at least for your top spenders and fans with active promises or boundaries.
- Saved message templates and scripts.
- Team list with roles and which accounts each person handles.
- Revenue and chatter reports you need for payroll or creator reporting.
- Tracking link names and promo history, if you kept them in the tool.
Run both tools in parallel during the trial
Do not move every account on day one. Pick one or two accounts with normal traffic and a manager who knows them well, link them to the new tool and use it for real work for a full week, including a busy evening and a shift handover. Keep the rest of the agency on the old tool.
During that week, check what will hurt if it fails: do replies reach OnlyFans, do permissions really stop a chatter from seeing other creators, how does the tool handle a send it cannot confirm, and can you export what you need. Before linking the same account in two tools at once, ask both vendors whether they support it, and avoid replying to the same fan from both.
FansTracker's trial lasts 14 days, needs no card and covers 2 accounts and 5 people, which fits this kind of pilot. Other vendors have different terms. Infloww's billing help page states that a one-time $80 prepaid deposit is required at least 48 hours before its trial ends.
Re-link accounts securely
Linking is the moment when credentials are most exposed, so the account owner should do it personally. In FansTracker the owner signs in to OnlyFans in a login window inside the desktop app, completes two-factor authentication on OnlyFans' own page and confirms the detected profile before anything is linked. The session is stored encrypted on FansTracker servers and never reaches team members' devices.
Whatever tool you move to, never send passwords to chatters or paste session cookies into chat. After the switch, remove the old tool's access from each OnlyFans account if your old tool used its own sessions, and review active sessions in OnlyFans if you can.
Rebuild roles, assignments and habits
Recreate the team in the new tool from the list you exported. Invite each person by email, give them a role and assign only the creators they work on. Use the move as a chance to clean up: remove people who left, split read and reply permissions for trainees and check who can export data. In FansTracker these are separate permissions, checked on the server on every request.
Then rebuild the habits. Re-enter the notes for your most important fans first, recreate your best templates and update the team handbook with the new screens. A short training session per shift saves more time than any feature.
Cancel the old tool cleanly
Cancel only when every account has been running in the new tool for at least a week and your exports are saved in a place the agency controls. Check whether billing is monthly, prepaid or annual. OnlyMonster's payment policy, for example, describes a prepaid balance with no automatic renewal and refunds credited to the balance, so plan the move around the end of the prepaid period. Keep the final invoice and confirmation of cancellation for your records.
Step by step
- Inventory your data. List what lives in OnlyFans (chats, fans, vault, lists) and what your team added in the old tool (notes, tags, templates, roles, reports).
- Export everything you can. Download CSV or JSON exports, copy key fan notes and templates into a shared sheet, and save the team and account assignment list.
- Read the old tool's billing terms. Check what happens to your data and any prepaid balance when you cancel, and note the dates.
- Start a pilot with one or two accounts. Start the new tool's trial, have the owner link the accounts personally and use it for real work for a full week.
- Recreate the team and permissions. Invite each person, assign roles and only the creators they handle, and re-enter the most important notes and templates.
- Move the remaining accounts. Link the rest account by account, train each shift and keep the old tool as a fallback until everything is stable.
- Cancel and close access. Cancel the old subscription, keep the confirmation and remove old sessions from each OnlyFans account where possible.
